StayHub Terms & Conditions

PLEASE READ CAREFULLY. By accessing or using StayHub ("Platform") you agree to these Terms. If acting on behalf of a company / property, you warrant authority to bind that entity.

1. Definitions

  • "Operator" / "We": StayHub platform provider.
  • "Property": Hotel / apartment / homestay / lodging entity using the Platform.
  • "Staff User": Authorized personnel of a Property.
  • "Guest": End user / occupant whose stay is managed through the Platform.
  • "Tenant": A Property or corporate account logically isolated within multi‑tenant infrastructure.

2. Scope of Service

StayHub provides modules for: digital check‑in/out, reservation & room status management, housekeeping & maintenance tracking, payment & invoicing, financial dashboards & revenue forecasting (day/month/quarter/year), cost & expense logging, staff role management, guest surveys, account & access control, notification dispatch.

3. Account Registration & Access

  • Each Tenant receives segregated storage & role‑based permissions.
  • Staff Users must keep credentials secure and use MFA if enabled.
  • We may suspend access for security, compliance, or breach investigation.

4. Acceptable Use

You must NOT:

  1. Circumvent security, access data of other Tenants, or probe infrastructure.
  2. Input unlawful, defamatory, infringing, or malicious content.
  3. Use the Platform for purposes unrelated to legitimate property operations.
  4. Reverse engineer components except where permitted by law.
  5. Abuse notification channels (spam / unauthorized marketing).

5. Guest Check‑In / Digital Contract

Digital acknowledgment of house rules / stay terms constitutes acceptance equivalent to a signed document (subject to applicable law). Door codes and access credentials must be protected and rotated as operationally appropriate.

6. Payments & Billing

  • Supported methods: cash, credit card (tokenized), bank transfer (manual reconciliation).
  • Properties are responsible for accuracy of charges & tax compliance.
  • Platform may generate invoices; legal validity depends on jurisdictional formatting requirements.
  • Charge disputes must be raised within 14 days of invoice issuance.

7. Room & Maintenance Workflow

Status labels (booked, vacant, cleaning, maintenance) are operational aids; accuracy depends on timely staff updates. Maintenance tickets should include sufficient detail for traceability.

8. Financial & Revenue Analytics

Forecasting tools provide estimates only and are not financial advice. Historical trends may not predict future performance.

9. Staff & HR Module

Role assignment and access logs are available to Tenant admins. Tenants are solely responsible for employment law compliance and payroll accuracy.

10. Data Protection & Security

Security measures described in the Privacy Policy are incorporated by reference. You acknowledge residual risk inherent to internet‑delivered services.

11. Intellectual Property

The Platform, software, UI, data models, and documentation are owned by the Operator (excluding user‑uploaded content). Limited, revocable, non‑exclusive, non‑transferable license granted for operational use while subscription is active.

12. Third‑Party Services

Firebase (Auth, Analytics, Crashlytics, Messaging) and payment gateways are integrated processors. Availability or changes in third‑party policies may affect certain features.

13. Suspension & Termination

We may suspend or terminate for: (a) material breach; (b) unpaid fees (if applicable) after notice; (c) legal / regulatory requirement; (d) security threat. Upon termination Tenant data export (industry‑standard format) will be provided upon written request within 30 days, subject to settled obligations.

14. Disclaimers

Service is provided "AS IS" without warranties (see full Disclaimer document). Forecasting, analytics, and uptime are not guaranteed.

15. Limitation of Liability

To the maximum extent permitted: (a) no indirect, consequential, lost profits; (b) aggregate liability limited to fees paid in preceding 12 months (or USD 100 if no fees). Mandatory statutory rights are unaffected.

16. Indemnity

You (Tenant) agree to indemnify and hold harmless the Operator against claims arising from: (i) misuse; (ii) violation of law; (iii) content or data supplied; (iv) employment or tax disputes internal to your operations.

17. Compliance & Audit

We may request cooperation for security assessments or compliance audits (limited to logs & configurations pertaining to your Tenant). Penetration testing against production requires prior written approval.

18. Changes to Terms

We may update Terms; material changes will have 30 days notice via platform banner or email. Continued use after effective date constitutes acceptance.

19. Governing Law

Subject to local consumer protection rules, governing law & venue will be specified in the executed service order or jurisdiction of Operator domicile if not specified.
